Logs pop-up: registration options expanded

It was already possible to manage log items (e.g. an Issue or a Risk) on a Portfolio or in a Project. Registration options have been expanded. When you create or modify a log entry, extensive data can be entered in a pop-up.

Adding/hiding logs on a PORTFOLIO

On the Portfolio, the Risk and Issues log are available.

Attention! These are risks and Issues that relate only to the specific Portfolio. So not the risks and issues of the Portfolio initiatives/Projects.

Those with Manger or Supporter rights can add/hide the logs. This is done by clicking on the configure icon (at the bottom of the left bar).

Select or deselect Issues and/or Risks and press Save.

Add/hide logs on a PROJECT

On the Portfolio, the Risk, Issues, Quality, Changes and Learning Points log are available.

Which logs are available in a Project depends on what is set in the Project Model used to create the Project. In fact, each Project is created with a Project Model as the basis.

In a Project model, the visible logs are set: and only those logs are then visible to all Projects created with that model. The owner of the Project Model (e.g., the System Administrator) can modify a Project Model.

A setting is available in the Project Model that allows the visibility of logs to still be adjusted by the Project Leader:
Option: ‘Project managers can override the visibility of tabs’. If this option is checked, Project Leaders can make logs visible or hide them themselves.

Add, Delete or Modify Logbook Entries

By clicking on the corresponding log icon on the icon bar (left side of the screen), the desired log screen will appear showing the items already created.

New log entries can be created by clicking ‘Add’. A new empty line is then added to the list.

In the blank line just added, press the blank ‘Description’. A pop-up appears.

On this pop-up, data can be entered or changed:

  • Default available fields: the top part of the screen contains the default FCC fields associated with the selected log.
  • Custom fields: these are fields that were set up specifically for your organization during configuration. Note the vertical scroll bar behind the Custom fields. This appears if there are more fields than can be displayed directly on the screen. Use the scroll bar to make these fields visible.
  • Documents: Documents can be added, for example, by dragging from the Windows Explorer. Links to documents that are included in a DMS, for example, can also be added.
  • Actions: actions belonging to the log entry can be added in a Project. These actions are also shown in the Kanban board present in the Projects app. Note: Actions cannot be added to log entries in the Portfolio.

A Log Entry can be deleted by selecting it (click on the check box at the front of the line). Above the list of log entries, the ‘Delete’ button then appears. Press there to delete all selected log entries.
