Costs of hours on entries expanded and automatic recalculation

This article is not concerning entries from type actual. Only the entries from the types planned, request and allocation are effected.

Costs of hours for request and allocation

Costs of hours calculation has been available for en extended time in Fortes Change Cloud for the entry types actual and planned. This calculation of cost based on a set resource or skill hours rate, calculates the cost based on hours * hour rate = costs and is set when the entry is created. This is based on the hour rate currently set and applicable for the financial period of the hour rate.

This calculation of costs on entries based on a set resource or skill hour rate is now also applicable the the entry types request and allocation. When using the capacity planning on portfolio level or resource management on project level, the costs will now automatically be calculated on the entries

Adding request and allocation to the financial planning

Since the request and allocation entries now also have a financial character, these entry types can also be added to the financial planning tab within the portfolio. Here the costs of the planned hours in the capacity planning will be visible.

In order to activate these types within the portfolio, follow the steps below:

1. Navigate to the financial planning tab within the portfolio and click on the gear icon on the right top of the screen
2. The configuration should open with the focus on the Financial category settings tab. If not, click on Financial category on the top of the setting screen.
3. Scroll down the the section Types per Financial category for Portfolio items / Projects and looks for the types Request and Allocation.
4. Select the desired setting for both entry types (Editable, Visible or Hidden) and click Apply changes on the bottom of the segment.

Automatic recalculation of costs

In previous versions of Fortes Change Cloud (before version 20) a change in an existing hours rate would not lead to a recalculation of costs. From version 20, these costs will automatically be updated when hours rate changes are applied. This is only applicable for the entry types planned, request and allocation.

Recalculation historical data

The calculation of costs for request and allocation entries is available from version 20+. In the case that data for these entry types is already entered in previous versions of Fortes Change Cloud, a recalculation script is available to apply the costs of hours.
