Workflows with forms

Workflows allow you to manage and update portfolio items by requesting input from teams. You can review submitted data and report on the results.

Teams can provide input using Excel, a separate FCC instance, or your own FCC environment. This enables clear collaboration and structured data collection across the portfolio.

The following process steps are explained sequentially:

Configuring teams
Linking teams
Configuring workflows
Requesting status updates
Accept/reject data
Reporting & analysis

Configuring contributing teams

In the teams app, contributing teams play a central role. These teams are responsible for updating data, providing feedback and collaborating across different areas of the organisation.

Before workflows can be used to request and manage status updates, contributing teams must first be set up in the teams app. In this process, you create teams and assign managers.

This interactive guide shows you how to:

  • Assign managers to the team app
  • Create a new team
  • Manage members of a team

Linking contributing teams to the portfolio and portfolio items

Once contributing teams have been configured, the next step is to connect them to the relevant portfolio and its portfolio items.

In FCC, this is done by configuring a canvas with the appropriate segment and fields. By adding the “Contributing Teams” segment, teams can be linked directly to objective cards.

This interactive guide shows you how to:

  • Add contributing teams to the portfolio
  • Configure a canvas for the portfolio items to add contributing teams
  • Link portfolio items to contributing teams

Configuring workflows

Workflows in FCC allow you to collect structured input from contributing teams. Before teams can begin submitting data, each workflow must be properly configured to define what information is required and how it’s structured.

This interactive guide shows you how to:

  • Configure workflows
  • Create your desired data for the workflow

Requesting portfolio item status updates from contributing teams through workflows

Once a workflow configuration has been created, you can initiate it to request status updates of additional input from contributing teams.

In FCC, initiating a workflow connects the workflow configuration and enables tracking of each team’s progress. The requested input appears in the teams app, allowing team members to respond.

This interactive guide shows you how to:

  • Initiate a new workflow

Submitting data

Submit and complete the requested data for acceptance in the portfolio.

Submitting data via Excel

After a workflow has been initiated, contributing teams can respond by submitting data in several ways. One of the methods is using Excel.

In FCC, the Excel upload functionality allows teams to prepare their data offline and then paste it directly into the system.

This interactive guide shows you how to:

  • Submit data via Excel

Accepting or rejecting submitted data

After contributing teams have submitted their input through a workflow, it’s important to review the data. FCC enables you to accept or reject submitted data.

Accepted data becomes part of the official data, while rejected input can be clarified and resubmitted by the team.

This interactive guide shows you how to:

  • Accept or reject submitted data

Reporting and analyzing submitted data

Once contributing teams have submitted and finalized their input through workflows, the next step is to gain insight into the data that has been collected. FCC provides structured views for reviewing all submitted and accepted data.

Using the List view, you can customize the visible columns to match those defined in your workflow configurations.

This interactive guide shows you how to:

  • Analyze the submitted data
