Workflow Import Wizard

Importing data into a workflow task is now easier and more transparent. A new step-by-step wizard guides you through selecting a data source, mapping fields, filtering items, and previewing the result — all before the actual import takes place.

The wizard is available for team managers who use OData-connected workflows in Portfolio and Teams.


How the wizard works

When you open a workflow task that uses an OData connection, the import wizard walks you through the following steps:

Step 1 — Select a data source

Choose where the data comes from:

  • Current instance — use data from the FCC instance you are working in.
  • External instance — import portfolio items from a different FCC instance. Enter the URL and an authorization key to connect.

Step 2 — Map fields

Match the columns from the data source to the fields that the workflow task asks for.

  • The wizard auto-suggests column mappings based on field names.
  • You can manually change any mapping by selecting a different source column from the dropdown.
  • Select Ignore for columns you do not want to fill — existing values are kept.
  • A preview of up to 5 rows is shown so you can verify the mapping before continuing.

The mapping is saved per team and workflow configuration, so the next team manager who opens this wizard will see the same mapping already applied.

Step 3 — Filter items

Narrow down the data to only the items you need to import.

  • Use the filter panel to add conditions on any available field — not just the ones being imported.
  • The item count updates as you adjust the filters, so you always see how many items match.
  • Filters are saved per team and workflow configuration, just like the field mapping.

Step 4 — Preview and import

Review the final result before importing.

  • The preview shows all filtered items with the mapped columns applied.
  • If you already have a saved configuration, the preview is shown immediately when you open the wizard.
  • When everything looks correct, click Import to start the import.

Generating an OData key

To connect to an external FCC instance, you need an authorization key. You can generate one in the Odata Connectivity app or the Dashboard tab in a portfolio.


  • Click any completed step header to jump back to that step.
  • Changing an earlier step does not reset later steps — instead, settings that are no longer valid (for example a filter on a field that no longer exists) are automatically removed.
