My Teams
Introduction
What is the Teams app? The Teams app is where contributing teams are set up and managed. These teams play a central role in workflows: they are responsible for updating data, providing feedback, and collaborating across different areas of the organization.
Before workflows can be used to request and manage status updates, contributing teams must first be configured in the Teams app. This involves creating teams and assigning managers.
Who uses it?
- Portfolio managers and PMO teams set up contributing teams and assign managers.
- Team managers oversee their team's data submissions and review responsibilities.
- Team members submit data through workflows, Excel, or cross-environment canvases.
What value does it deliver?
- Provides a clear structure for which teams contribute data to workflows.
- Enables decentralized data collection across the organization.
- Supports multiple submission methods (directly in FCC, via Excel, or across FCC environments).
Configuring contributing teams
Contributing teams are created and managed in the Teams app. In this process you create teams and assign managers to them. The managers are responsible for overseeing the data submission process for their team.
The following interactive guide shows you how to:
- Assign managers to the Teams app.
- Create a new team.
- Manage members of a team.
Submitting data
Once contributing teams are configured and a workflow has been initiated, teams can submit their data in several ways.
Submitting data via Excel
The Excel upload functionality allows teams to prepare their data offline and then paste it directly into the system. This is useful when teams need to gather information from multiple sources before submitting.
The following interactive guide shows you how to submit data via Excel:
Submitting data through another FCC environment
Teams can contribute data to workflows not only within their own environment, but also across FCC environments. By configuring a canvas and using the same structure as defined in the workflow, teams in other FCC environments can fill in the required fields and submit their data.
The following interactive guide shows you how to create a canvas for cross-environment data submission:
Fetching the OData link and updating data from another FCC environment
You can define which data fields are required and generate an OData link based on that configuration. This link can be copied and pasted into the Teams app to retrieve submitted data from another FCC environment.
The following interactive guide shows you how to:
- Set data fields.
- Fetch the OData link and authentication key.
- Submit data through another FCC environment.
Best practices
- Set up contributing teams before initiating workflows that require data from them.
- Assign a team manager to each team so there is a clear owner for the data submission process.
- Use Excel submission when teams need to gather data offline before entering it.
- When working across FCC environments, configure the canvas structure to match the workflow definition.
FAQ
Do I need to configure teams before using workflows? Yes. Contributing teams must be set up in the Teams app before workflows can request and manage status updates from them.
Can teams submit data in more than one way? Yes. Teams can submit data directly in FCC, via Excel upload, or through a canvas in another FCC environment.
What is the role of a team manager? The team manager oversees the data submission process for their team and is assigned during team configuration.
