Plan Resources on Team


Introduction​

The Plan resources on team tab is the second tab within a Resource Pool in the Resource Supply app. Here you set the availability of each resource and distribute their time across teams. This is where the link between individual resource capacity and team capacity is established.

Setting availability​

Each resource in the pool has an availability value, expressed in FTE or hours. This represents how much capacity the resource has in total.

Example: A full-time employee has an availability of 1.0 FTE. A part-time employee working three days a week might have 0.6 FTE.


Distributing allocation across teams​

For each resource you can specify how much of their availability is allocated to each team. The allocation per team is also expressed in FTE or hours.

Example: A resource with 1.0 FTE availability is allocated 0.5 FTE to Team A and 0.5 FTE to Team B.

Note: When the total planned allocation exceeds the availability of a resource, a warning is displayed. This helps you identify over-allocation early.


Saving changes​

After adjusting availability or allocation values, click Save changes to persist the updates. You can also save the current state as a scenario to compare different planning options.


Team capacity​

At the bottom of this tab you see the team capacity: the total FTE a team has based on all resources assigned to it across pools. This value feeds directly into the team capacity planning in the Portfolio and Project apps.

Best practices​

  • Set availability realistically: account for part-time work, leave, or seasonal fluctuations.
  • Review allocation regularly to detect over- or under-allocation early.
  • Use scenarios to compare different planning options before committing.
  • Ensure resources are added to the pool in the Resources tab before planning their allocation here.

FAQ​

What happens when allocation exceeds availability? A warning is shown on the resource. This does not block saving, but signals that the resource is over-allocated.

Can I allocate a resource to teams in different Portfolios? Yes, a resource can be allocated to multiple teams. However, each team's availability can only be managed by one Portfolio.

Where do I add resources to the pool? Resources are added in the Resources tab.
