My Hours


Introduction​

What is the Hours app?

The Hours app in Fortes Change Cloud is where you register time spent on your work. You fill in weekly timesheets by booking hours on Project Activities (PAs) and Non-Project Activities (NPAs such as leave, training, or meetings). Once complete, you submit the timesheet for approval.

Who uses it?

Every team member who needs to register time uses the Hours app. This includes project team members, consultants, and any employee whose organization tracks working hours through Fortes Change Cloud.

What value does it deliver?

  • Provides a clear record of time spent per project, program, or non-project activity.
  • Enables accurate cost tracking when hours are linked to hourly rates.
  • Supports the approval workflow so managers can review and approve timesheets.
  • Gives insight into accountable hours: how many hours you are expected to register per week.

Accessing the Hours app​

There are two ways to access the Hours app:

  1. Personal start page: When you open Fortes Change Cloud, your start page shows all timesheets that need to be filled in.
  2. App selector: Click the App selector in the top-left corner of the screen and select Hours.

Timesheets​

The Hours app organizes time registration into timesheets. Each week has its own timesheet that you open, fill in, and submit.

Opening a timesheet​

When you open the Hours app, you see a tile for each open week. Click a tile to open the corresponding timesheet.

Pre-filled items​

If you have submitted timesheets before, the items from your most recent weeks are automatically pre-filled. This means you can immediately start entering hours for the same activities without having to search for them again.


Registering hours​

Entering hours on existing items​

  1. Open the timesheet for the week you want to register hours for.
  2. Click on the day field next to the item you want to book hours on.
  3. Enter the number of hours.

Adding a new item​

If an activity is missing from your timesheet:

  1. Click the Add button (top-right of the screen).
  2. A pop-up appears showing your recently used items.
  3. If the item you need is not listed, type a keyword in the search bar.
  4. Matching items are displayed. Select the item by clicking the checkbox.
  5. Click Add rule to add the selected item to the timesheet.

Checking your totals​

The timesheet shows the total hours per day above the list of items. Use this to verify that you have accounted for all your hours before submitting.

Accountable hours​

If your organization uses accountable hours, the timesheet shows how many hours you are expected to register. This is based on capacity bookings that are imported for your profile. Both positive and negative booking values are supported. Negative values are deducted from the positive bookings.


Submitting for approval​

Once you have registered all hours for the week:

  1. Click the Submit button (top-right of the screen).
  2. Your timesheet is sent for approval.

After submission:

  • Hours booked on Project Activities are typically approved by the Project Manager.
  • Hours booked on Non-Project Activities are typically approved by the Line Manager.

Handling rejected timesheets​

If a reviewer rejects your timesheet, it is returned to you with the reviewer's comments visible on the rejected lines.

To correct a rejected timesheet:

  1. Open the rejected timesheet.
  2. Review the reviewer's comments on the rejected lines.
  3. Correct the hours or items as indicated.
  4. Submit the timesheet again.

Using the Hours app on mobile​

The Hours app is available on mobile devices (phone and tablet) as a Progressive Web App (PWA). It does not need to be installed from an app store.

Setting up the mobile app​

  1. Open the Hours app in Fortes Change Cloud on your PC.
  2. Copy the URL of the Hours app from your browser's address bar.
  3. Send the URL to your mobile device (e.g., via email or a messaging app).
  4. Open the URL on your mobile device in the browser.
  5. When prompted, tap Install to add the Hours app to your home screen.

Once installed, logging in takes you directly to the Hours app.


Best practices​

  • Register hours daily or at least weekly to avoid forgetting what you worked on.
  • Check your totals before submitting to make sure you have accounted for all expected hours.
  • Review rejected lines carefully: the reviewer's comments explain what needs to change.
  • Use the search function when adding items to find the correct activity quickly.

FAQ​

What can I book hours on? You can book hours on Project Activities (PAs), Non-Project Activities (NPAs), portfolio items, and program items, depending on how your organization has configured time registration.

What happens after I submit my timesheet? It enters the approval workflow. Project hours go to the Project Manager for approval, and non-project hours go to the Line Manager. You are notified if a submission is rejected.

Can I edit a submitted timesheet? No. Once submitted, a timesheet can only be changed if it is rejected by a reviewer and returned to you.

What are accountable hours? Accountable hours show how many hours you are expected to register per week based on imported capacity bookings. It helps you verify that you have entered all required hours.
