Filters and Views


Introduction​

What are Filters and Views?
Filters and Views are tools available throughout Fortes Change Cloud that help you focus on the data that matters. Filters narrow down lists and boards based on properties such as owner, date, status, or name. Views are saved filter configurations that can be reused at the touch of a button, so you do not have to set the same filters again each time.

Who uses it?
All users of Fortes Change Cloud. Filters and Views are available in the Portfolio app, Project app, Agile Program, and other parts of the platform, anywhere data is displayed in lists, Kanban boards, or grids.

What value does it deliver?

  • Creates clear overviews by showing only the relevant items.
  • Saves time by reusing saved Views instead of reconfiguring filters repeatedly.
  • Supports collaboration by sharing Views with team members or the entire organization.

What is a filter?​

A filter narrows down the data displayed on a page based on one or more properties. For example, you can filter Portfolio items by their owner, status, Funnel phase, or any other available field. Filters can be combined to create precise overviews.

Filters are available on most tabs and views in Fortes Change Cloud, including the Portfolio Funnel, Kanban boards, Capacity Planning tabs, and log item lists (Issues, Risks, etc.).


How to set a filter​

  1. Click Filters to open the filter panel.
  2. Click Add filter.
  3. Select the property (or properties) you want to filter on and click OK.
  4. Configure the filter by filling in the required values (e.g., select a specific owner, choose a status, or enter a date range).
  5. The filter is now active and the data on the page is updated accordingly.

Tip: You can add multiple filters at the same time to create a more specific overview. All active filters are shown in the filter panel so you can adjust or remove them.


What is a View?​

A View is a saved set of filters that can be reloaded with a single click. Instead of setting the same filters manually each time, save them once as a View and select it from the view menu whenever needed.


How to create and save a View​

The following selfguide walks you through creating a filter on the Portfolio Funnel and saving it as a View:

Step-by-step​

  1. Open the filter panel by clicking Filters.
  2. Add and configure one or more filters.
  3. Click Save current view.
  4. Choose one of the following:
    • Add new view: create a new View. Enter a name and click Save.
    • Overwrite existing view: replace an existing View with the current filter configuration.
  5. Select a View from the view menu to apply it.

Note: When you make changes without saving, the view selector shows an asterisk (*) to indicate there are unsaved modifications. Switching to another View at that point discards the unsaved changes without a confirmation prompt.

Editing and deleting Views​

Open the view menu, select Edit view next to the View you want to change, and adjust the name or type. To delete a View, select Delete in the same dialog. After deletion, the selector returns to the unsaved state but your current settings remain visible.


View types​

When saving a View, you choose a type that determines who can see and use it. The available types depend on your role.

Views and portfolio models​

Local Views created on a portfolio model are automatically copied to every new portfolio created from that model. This lets you distribute standardized layouts without manual setup. Changes made to the model Views after portfolio creation do not sync to existing portfolios.


Best practices​

  • Save frequently used filter combinations as a View to save time.
  • Use Personal Views for your own day-to-day work and Local Views for filters shared with your team.
  • Name Views clearly so they are easy to find (e.g., "Open risks - Q2" or "My portfolio items").
  • Review and clean up old Views periodically to keep the view menu manageable.
  • Combine filters strategically: start broad and narrow down to find exactly what you need.

FAQ​

Can I edit an existing View?
Yes. Apply the View, adjust the filters as needed, then click Save current view and choose Overwrite existing view.

Can I delete a View?
Yes. Open the view menu, find the View you want to remove, and delete it.

Why can I not create a Local or Global View?
Only System Administrators can create Global Views. Local Views require edit rights on the relevant location, which Managers and Supporters have.

Do filters persist after I leave the page?
Yes, in the same browser. Unsaved filter and view settings are kept in your browser and are restored when you return to the page. Depending on the page, they last until you close the browser or remain after a restart. They are not saved to your account, so they are not available in other browsers or on other devices, and they belong to no View until you save them. Switching to another View discards them. Save them as a View to keep them for good or to share them.

Are Filters and Views available in all apps?
Yes. Filters and Views are available in the Portfolio app, Project app, Agile Program, and throughout other parts of Fortes Change Cloud.
